Position Summary 

Karvo Companies, Inc. is seeking a highly organized and detail-oriented Administrative Assistant to support daily office operations. This role is essential in keeping projects, communication, and documentation running smoothly across departments. 

Key Responsibilities 

  • Provide administrative support to office staff, project managers, and leadership 

  • Answer and direct phone calls, emails, and general inquiries 

  • Prepare, organize, and maintain files, reports, and project documentation 

  • Assist with data entry, job tracking, and internal reporting 

  • Coordinate meetings, schedules, and calendars 

  • Support payroll, billing, and basic accounting tasks as needed 

  • Order office supplies and maintain office organization 

  • Assist with onboarding paperwork and general HR support 

  • Maintain confidentiality of company and employee information 

 

Qualifications 

  • 2+ years of administrative or office support experience preferred

  • Proficiency in Microsoft Office (Word, Excel, Outlook) 

  • Strong organizational skills and attention to detail 

  • Excellent communication and interpersonal skills 

  • Ability to manage multiple tasks and meet deadlines 

  • Experience in heavy civil construction or a related industry is a plus 

  • Reliable, professional, and team-oriented attitude

Specific Tasks: 

  • Gather pictures for social media from Project Managers and Employees 

  • Support Marketing 

  • Coordinate office celebrations 

  • Help Management stay organized with the hiring process 

  • Help Greet Candidates and Schedule Follow-ups 

  • Help grow learning opportunities for staff by sharing information and promoting educational opportunities 

  • Organize volunteer opportunities for staff and send reminders about events 

  • Assist Administration by identifying opportunities to improve organization, efficiency, and time management
